Initial Review Form
What do we use for students continuing in ESL from a previous Texas school?
- The Initial Review form is designed as the first contact that a district has with a student. It may be for identification (if coming from out of state or out of country) or for recommending continued placement (when applicable from another Texas district) or to document DNQ—does not qualify. The Initial Review form is one of the four icons that will remain green (when sealed) from year to year (along with the HLS, Parent Permission, and Exit Notification).
Should I use the Initial Review form for a new student who does not qualify as LEP?
- Yes, and be sure to check the DNQ box, under the LPAC Recommendations that specifically states ‘DNQ (Does Not Qualify) – Non-LEP’. That will ensure that this student is pulled into a DNQ report which can assist your district later if the student leaves the district and then returns at a later date.
I'm not seeing anywhere on the Initial Review form to put the student's home language or home country.
- The forms are adapted from the TEA suggested forms which do not include this information either, unfortunately. It can always be added in “Notes” section at the end of the form.
Meeting roster Form
After I have set up (and saved) my Meeting Roster, but before my LPAC meeting, I know that teachers have added to or changed forms that we will be using on students in the meeting. How can I be sure that I have the most current forms in my Meeting Roster and get the updates in these forms before my meeting?
- This is a terrific question! So the Meeting Roster will not overwrite the data in the forms that have been changed, unless you tell it to. So right before your LPAC meeting, be sure and use the ‘REFRESH’ icon which is located directly ON the Meeting Roster form (green bar “Students under Discussion’). This will give the roster permission—since you had saved it previously—to pull in the updated forms on each student on the roster. You will see the icon colors change if the forms have been saved or sealed since the original creation (and saving) of the roster itself. You will want to save it once again --after refreshing --right before you begin.
When I'm filling out "Students under Discussion", some of these students are those who were expected to exit, but did not pass STAAR,. How should they look in the meeting roster? There does not appear to be an icon that meets their need. Under “purpose” I put “Misc. Review.” Is that correct? Is there something more we should do? – Thanks!
- That’s perfect! The Misc. Review form is a catch-all for purposes that do not have a specific icon or are not located in the Other Documents icon. You can choose the drop down option ‘Exit Pending Assessment Results’ in the Misc. Review form. If there's not a specific icon form or a specific form in the 'Other Documents', then this is your 'go to' form for other purposes. You can choose from the drop down options on the form or text in your reason for meeting on the student.

- The ability to order your students in the way that will best work for your meeting. Just use the up/down arrows next to the students name to change the order.
COMING SOON in the Meeting Roster!
- The ability to choose the role of member attendees in the Meeting Roster from the drop down—and then have it automatically populate the staff member’s name and role into each form chosen under purpose for this meeting. That means that you will only need signatures (not re-adding text names/roles) on each form after your discussion and decisions in the meeting.
- The ability to ‘Print Forms’ (see button) directly from the Meeting Roster after the committee has met on each student. Just remember to ‘REFRESH’ your forms directly in the Meeting Roster green bar to pull in all the updated forms complete with signatures after your meeting and SAVE. When you hit ‘Print Forms’ all the completed forms of the students you have just met on--including decisions and signatures-- will print in a PDF.

On the top right edge of the form, it asks for a date in this spot…”For School Use: Date Received by District/Charter” What should we put there?
- This is just a district documentation option of the date the district received the signed form back from the parents.
The HLS asks that we chose the language at top, if the student's language is not listed, what do we select?
- In this top drop down box, you will find the word ‘Other’ at the very end of the list. In case the student's language is not listed—choose ‘Other’.
parent Permission form
For the parent letter, once we have had the LPAC, do we print and send the letters home for a signature? Then when we get them back, scan them for upload to that section so the signed copy is there?
- There may be a district directive for you so always be sure to check with your district ELL Director regarding specific district processes.
- But…attaching (uploading) a returned, signed form is one option if it is more convenient. Then after attaching it, save and (if final) seal the form. You will want to choose the yes or no of parent permission on the form to ensure this data in reports.
- An additional option for the parents that you have contact with, is to get their permission and signature directly on an iPad or computer and save and seal when complete, directly into the system.
Can you give us an option that allows a parent to DENY Bilingual but ACCEPT ESL on ONE Parent Permission form? They’ve already confirmed their wishes verbally to a Spanish-speaking representative from our district - and the two-form option to deny Bilingual and then accept ESL is confusing for them.
- So sorry! Edugence ELL does not provide this option. The offer of bilingual and refusal is a documentation for the district before offering ESL. It can be inconvenient to have both forms but the district can always choose to provide a different form which includes both options in the Repository if it chooses to combine the process. That could then be uploaded as an attachment on the Parent Permission icon.
Is there a parent form available for students that are tested but do not qualify?
- There is not one in the system but this is the kind of thing that districts can upload to their ‘Repository’.
KEY POINTS on Parent Permission Forms
- You must chose the Program drop down at the top to generate the letter itself. Bilingual is provided in English and Spanish. ESL is provided in over 30 languages. Once the program and language is selected, the translated form opens.
- Yes… I know that it does seem to take longer to load the Parent Permission form-- as does the HLS--since both of these forms are provided in over 30 languages. So sorry!
instructional accommodations form
I know that our district uploads our TELPAS scores into the system….but shouldn’t there be an option to input recent TELPAS scores if a student is coming from another Texas school district and we have that information?
- We have added a text space below the TELPAS scores, on the Instructional Accommodations form, that provides a spot to add ‘Additional Assessment Information’. That could serve this purpose and any other assessment issue/info that is relevant to instructional accommodations.
STATE ASSESSMENT FORM
I know the state assessment forms will be changing again in 2018 due to changes from the state. Will these changes be reflected in the State Assessment forms in Edugence?
- We were able to make changes to the Edugence ELL state assessment 2017 forms within a week of when TEA posted the new form this past year and expect to see a rapid implementation of any changes once they are released by the state this year.
PASSWORDS & USER Roles
I forgot my password. How do I reset it?
- You will need to contact one of your Super-Users in the district--someone with that 'role' in Edugence ELL--who will be able to hit a ‘Reset Password’ button that will generate an email to you with a link to reset it.
I usually oversee the LPAC meetings for my campus, starting the forms for all students, etc. As a 'Teacher' in the system, I am only seeing my own students. Do I need to be given rights as a different role in Edugence ELL in order to work on any student on my campus?
- Many districts will assign the person who is organizing and overseeing the campus LPACs, a role of "Campus Administrator' which will allow them access to all students on the campus. That enables you to work on forms and gather information on all students on the campus. You will need to contact your ELL Director or someone with a 'Super-User' role in your district to make the role change for you.

- We have been working on the code to allow districts to upload some of the LPAC testing such as the Woodcock Muñoz, IPT, ITBS, etc.
- Finished! - The IPT and Woodcock Muñoz process is complete and that option is now in place for all districts who use these two to upload data files directly into Edugence ELL just as you currently do with state assessment data.
- Phase 1 (Oct/2017) will allow the data to be pulled into the Student Profile—so you can easily access the data for input into forms. Additionally, it will populate into two reports in this first phase: Performance by Grade and Performance by Teacher.
- Phase II (Jan/2018) will pull the data directly into the student forms to populate the information where needed.
sTUDENTS NEW TO DISTRICT OR nO LONGER IN DISTRICT
When we're ready to begin initial LPAC paperwork, will the student show up on our search roster at that time, or is it connected to PEIMS?
- All student data is pulled directly from the student information system—SIS-- (yours may be Skyward, eSchool, TxEIS, etc.). The official data that the district inputs into your SIS is what is pulled into Edugence ELL and therefore student changes must always be made within the district SIS system.
- Since the data pushes into Edugence ELL nightly, any updates from the district PEIMS clerk (new enrollees, etc.) should be reflected in the system the following day. District super-users can verify the most recent overnight data pull and files that were uploaded as well as any error flags on uploads.
Can we remove students listed in Edugence as LEP that are not LEP or are not on our campus?
- All student data is pulled directly from the student information system (SIS). The official data that the district inputs into your system is what is pulled into Edugence ELL and therefore student changes/additions/deletions, etc. must be made within your district SIS.
- You will want to ensure that your PEIMS clerk or data entry person for your SIS receives any changes in status according to district procedure.
I have a new student who is not showing up in Edugence, although we have their student ID#.
- You will need to first check your SIS to see if the new student has been added to your system so that it can be pulled into Edugence ELL. If your SIS does shows the student (check with your district Super-Users) but Edugence ELL does not show the student, then you will want to contact R10 tech support for Edugence at [email protected] and provide the specific student name or ID number that is missing.
Forms - Misc
Why do I see this at the top of some of the forms...'REMINDER: In an LPAC meeting, the LPAC Manager (or person who inputs the information) must save this form with any changes before adding signatures'? What does that mean?
- In order to use multiple devices such as iPads or tablets for signatures at an LPAC meeting, this process allows a quicker and more secure attachment of the signatures to the student form after LPAC decisions have been made.
- So you can have one person texting in the district decisions or comments on the form and then saving the form from the mid-form SAVE button. Other LPAC members in the same meeting and on the same student's form can then sign from different devices. This allows the process to go more quickly and more effectively. Each signature will receive a date/time stamp at the time of signing.
